How to Set Up WhatsApp Auto Reply for Your Business (Step-by-Step)

A customer messages your business at 8pm. You're busy. They wait 3 hours. By morning, they've already contacted your competitor. WhatsApp auto reply fixes the first response — here's how to set it up free in 5 minutes, and what to do when you need it to do more.

Option 1: WhatsApp Business App (free, takes 5 minutes)

What you need: WhatsApp Business App (separate from the regular WhatsApp app). Download free from Play Store or App Store. You can use your existing business number.

Setting up Away Message (auto reply when you're offline):
1. Open WhatsApp Business → three dots (top right) → Business Tools
2. Tap "Away message"
3. Toggle "Send away message" ON
4. Tap the pencil icon to edit the message
5. Set schedule: choose "Always send" (simplest) or set specific offline hours
6. Recipients: choose "Everyone" for all incoming messages

A good away message:
> "Hi! Thank you for messaging [Your Business Name] 👋 We've received your message and will reply within 2 hours. For urgent enquiries, call us at [number]. We're open Mon–Sat, 9am–7pm."

Greeting message (auto reply when a new contact messages you for the first time):
1. Business Tools → Greeting message
2. Toggle ON → edit the message
3. This sends automatically to anyone who messages you for the first time

A good greeting message:
> "Hi [customer name]! 👋 Welcome to [Business Name]. How can I help you today? You can ask me about our services, pricing, or to book an appointment."

Quick replies — save your most common answers

Quick replies let you save responses to common questions and send them with a single tap.

How to set up:
Business Tools → Quick replies → tap + to add

Useful quick replies to create:
- /price → Your complete price list
- /timing → Your working hours + location
- /booking → How to book an appointment
- /location → Your address + Google Maps link

When a customer asks "what are your prices?", type /price in the chat — it fills in your full price list instantly. Saves 2–3 minutes per conversation.

The limitation of the WhatsApp Business App

The free app is a good start. But it has real limits:

  • Same reply for everyone — A pricing question and a complaint get the same auto reply
  • No follow-up — If someone doesn't reply, you have to chase manually
  • Works only on one phone — Can't be accessed by your team
  • No lead capture — You still have to manually read and respond to qualify leads
  • No conversation history export — Hard to track which leads converted

For businesses getting fewer than 20 WhatsApp messages per day, the free app is enough. For businesses getting more, missing even 3–4 leads a day gets expensive fast.

Option 2: WhatsApp automation (for growing businesses)

This is what D2Grow builds for clients:

What it does:
- Instant reply (within 60 seconds, 24/7) with a message specific to what the customer sent
- AI that answers common questions — price, location, timings, availability — without you
- Qualification questions: it asks what they need, when, budget — and scores the lead before you see it
- Automatic follow-up: if they go quiet, it sends a follow-up on Day 3 and Day 7
- CRM dashboard: every lead, every conversation, every status — in one place

When do you need this?
If missing 5–10 leads a week costs your business ₹10,000+, the automation pays for itself immediately.

If you're a clinic, salon, coaching business, or real estate agent getting consistent leads — and you're still responding manually — you're losing revenue every week.

Frequently asked questions

WhatsApp Business App free ah? (Is WhatsApp Business App free?)

Yes, completely free. Download from Play Store or App Store — search 'WhatsApp Business'. It's a separate app from the regular WhatsApp. You can use your existing business number, but you'll need to move it from the regular WhatsApp app (your chat history won't transfer).

Can I use WhatsApp Business on the same phone as regular WhatsApp?

Yes, but you need a different phone number for each. Most business owners use their personal number on regular WhatsApp and a separate SIM (or their landline number) for WhatsApp Business. Android allows dual-app installs natively; iPhone requires dual SIM or a second device.

Auto reply set pannaa message miss aaguma? (Will I miss messages if I use auto reply?)

No. Auto reply just sends an instant response — you'll still see all incoming messages in your inbox and need to reply to continue the conversation. It only prevents the 'no response' feeling customers get when they have to wait.

What is the WhatsApp Business API? Is it different from the Business App?

Yes, very different. The Business App is the free phone app for small businesses. The WhatsApp Business API is a developer platform that allows businesses to send automated messages, integrate with CRMs, and handle high message volumes. It requires a Facebook Business Manager account and is what powers D2Grow's automation system.

Can I send bulk WhatsApp messages to my customers?

The WhatsApp Business App allows broadcast lists (up to 256 contacts at once), but customers must have your number saved. The WhatsApp Business API allows larger-scale messaging but has strict approval requirements for message templates. Sending unsolicited bulk messages can get your number banned.
