Option 1: WhatsApp Business App (free, takes 5 minutes)
What you need: WhatsApp Business App (separate from the regular WhatsApp app). Download free from Play Store or App Store. You can use your existing business number.
Setting up Away Message (auto reply when you're offline):
1. Open WhatsApp Business → three dots (top right) → Business Tools
2. Tap "Away message"
3. Toggle "Send away message" ON
4. Tap the pencil icon to edit the message
5. Set schedule: choose "Always send" (simplest) or set specific offline hours
6. Recipients: choose "Everyone" for all incoming messages
A good away message:
> "Hi! Thank you for messaging [Your Business Name] 👋 We've received your message and will reply within 2 hours. For urgent enquiries, call us at [number]. We're open Mon–Sat, 9am–7pm."
Greeting message (auto reply when a new contact messages you for the first time):
1. Business Tools → Greeting message
2. Toggle ON → edit the message
3. This sends automatically to anyone who messages you for the first time
A good greeting message:
> "Hi [customer name]! 👋 Welcome to [Business Name]. How can I help you today? You can ask me about our services, pricing, or to book an appointment."
Quick replies — save your most common answers
Quick replies let you save responses to common questions and send them with a single tap.
How to set up:
Business Tools → Quick replies → tap + to add
Useful quick replies to create:
- /price → Your complete price list
- /timing → Your working hours + location
- /booking → How to book an appointment
- /location → Your address + Google Maps link
When a customer asks "what are your prices?", type /price in the chat — it fills in your full price list instantly. Saves 2–3 minutes per conversation.
The limitation of the WhatsApp Business App
The free app is a good start. But it has real limits:
- Same reply for everyone — A pricing question and a complaint get the same auto reply
- No follow-up — If someone doesn't reply, you have to chase manually
- Works only on one phone — Can't be accessed by your team
- No lead capture — You still have to manually read and respond to qualify leads
- No conversation history export — Hard to track which leads converted
For businesses getting fewer than 20 WhatsApp messages per day, the free app is enough. For businesses getting more, missing even 3–4 leads a day gets expensive fast.
